Privacy Policy

Your privacy matters. This page explains, in plain terms, what data Vortex collects when you use the bot or dashboard, and how that data is handled.
1. Overview
This policy explains what data Vortex collects when you use the bot or the dashboard, why we collect it, and how it's stored and protected. We collect the minimum needed to run Vortex's features — nothing is sold, and nothing is collected for advertising.
2. Information We Collect
Depending on which features a server enables, Vortex may store:
- Discord identifiers — server, channel, role, and user IDs needed to run commands and modules.
- Server configuration — module settings such as automod rules, welcomer messages, logging channels, whitelisted roles and prefixes.
- Moderation records — case logs (warnings, bans, kicks) created through Vortex, tied to user and moderator IDs.
- Message metadata — for automod and logging, we process message content transiently to check against filters; only what a server has configured to log is retained.
- Dashboard login — when you sign in via Discord OAuth, we receive your Discord user ID, username and avatar. We do not request or store your email or password — Discord handles authentication.
- Command usage — lightweight, non-identifying stats (e.g. command name and timestamp) used to monitor bot health.
3. How We Use Information
Collected data is used only to:
- Run the commands and modules a server has configured.
- Enforce moderation actions and maintain case history for staff reference.
- Authenticate dashboard sessions and show the servers you manage.
- Diagnose bugs, monitor uptime, and improve performance.
4. Data Storage & Security
Data is stored in a MongoDB database, hosted on infrastructure provided by our hosting partner, HellCore Cloud. Access to production data is limited to the Vortex development team. We use standard security practices (access control, environment-isolated secrets) to protect stored data, but no online system can be guaranteed 100% secure.
5. Data Retention
Server configuration and moderation records are retained for as long as Vortex remains in a server. If Vortex is removed from a server, associated configuration data is deleted from our database within 30 days. Case logs may be retained slightly longer where needed to resolve active disputes or abuse reports.
6. Third-Party Services
Vortex relies on the following third parties to operate:
- Discord — the platform Vortex runs on; see Discord's own Privacy Policy for how they handle your data.
- HellCore Cloud — our hosting provider, running the bot process and database.
We do not sell or share your data with advertisers or data brokers.
7. Your Rights & Data Deletion
You can request a copy of the data we hold about you, or request its deletion, by contacting us through the support server. Server administrators can also remove Vortex from a server at any time to trigger deletion of that server's stored configuration, as described above.
8. Children’s Privacy
Vortex is intended for use in accordance with Discord's Terms of Service, which require users to meet Discord's minimum age requirement. We do not knowingly collect data from users who do not meet that requirement.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date below reflects the latest revision. Material changes will be announced in the support server.
